Mosaic Counseling is seeking a fully licensed therapists for our Brookfield location. We offer a flexible, supported, and rewarding work environment. Providers have the opportunity to practice both in-person and telehealth or telehealth only.

Intake Coordinator & Marketing Specialist

Position Summary

‍We are seeking a highly organized, personable, and relationship-driven Intake Coordinator & Community Outreach Specialist to join our growing mental health practice. This role combines client intake coordination, therapist matching, marketing support, and community engagement. The ideal candidate is warm, professional, detail-oriented, and passionate about helping connect clients with appropriate care while building strong relationships within the community.

‍This position plays a key role in creating a positive first impression for prospective clients and strengthening the practice’s visibility through outreach, networking, and public engagement.

Primary Responsibilities

‍Client Intake & Care Coordination

‍ ‍·       Manage incoming phone calls, emails, and online inquiries from prospective clients

‍ ‍·       Conduct initial intake screenings and gather relevant client information

‍ ‍·       Match and assign clients to appropriate therapists based on clinical needs, scheduling, insurance, specialty areas, and fit

‍ ‍·       Maintain timely communication with clients throughout the intake process

‍ ‍·       Coordinate scheduling and follow-up communication as needed

‍ ‍·       Maintain accurate and confidential client records within the electronic health record system

‍ ‍·       Collaborate with clinical staff regarding referrals, availability, and client placement needs

‍ ‍Marketing & Outreach

‍ ‍·       Assist in developing and implementing the practice’s marketing and outreach plan

‍ ‍·       Build and maintain referral relationships with healthcare providers, schools, businesses, and community organizations

‍ ‍·       Coordinate outreach initiatives, networking opportunities, and referral partnerships

‍ ‍·       Represent the practice at community events, health fairs, and networking functions

‍ ‍·       Assist with social media coordination, newsletters, and promotional materials

‍ ‍·       Track outreach efforts and referral trends to support practice growth

‍ ‍Community Engagement & Public Speaking

‍ ‍·       Participate in community education and awareness efforts related to mental health

‍ ‍·       Coordinate and attend speaking engagements, workshops, and presentations

‍ ‍·       Serve as a professional and welcoming ambassador for the practice

‍ ‍·       Develop relationships with local providers and organizations to increase collaboration and referral opportunities

‍ ‍Qualifications

‍ ‍·       Bachelor’s degree preferred in marketing, communications, psychology, healthcare administration, or related field

‍ ‍·       Previous experience in healthcare, mental health, customer service, intake coordination, marketing, or community outreach preferred

‍ ‍·       Strong interpersonal and communication skills

‍ ‍·       Comfortable speaking publicly and engaging with community partners

‍ ‍·       Excellent organizational skills and attention to detail

‍ ‍·       Ability to multitask and manage competing priorities in a fast-paced environment

‍ ‍·       Proficiency with electronic health records, scheduling systems, and standard office software

‍ ‍·       Ability to maintain confidentiality and professionalism at all times

‍ ‍Preferred Skills
